In short
A large company does not have to move all at once. The move is split into phases, one department or floor per weekend, starting with what does not stop work and ending with management and the server room. Each phase is planned on the floor plan in advance, and on Sunday every employee who moved sits down at a ready desk.
Why phases
With 20 desks, everything can move in one weekend. With 80 or 200, a single big move usually ends on Sunday with some people without a desk, a computer or a network. Phasing lowers the risk: only a small part moves each time, and if something goes wrong it affects one department, not the whole company.
How to split
- By department: a whole department moves together, so people who work together sit together during the move too.
- By floor: floor after floor, filling the new office from the bottom up.
- By dependency: departments that do not depend on each other can move separately; teams that work together move in the same phase.
What moves first and last
- First: the archive, storeroom, furniture and equipment not in daily use. It clears space and lets everyone rehearse the route.
- Middle: the departments, one per weekend.
- Last: management, finance and the server room, once the new office is already working and tested.
One weekend per phase
A phase starts on Thursday afternoon with packing and labelling by desk number, the move happens Thursday evening or Friday, and assembly and placement finish by Saturday night. On Sunday morning the employees of that phase come to the new office, and everyone else keeps working in the old one as usual.
Two offices running at once
- Both offices need internet, phones and coffee at the same time. Arrange it in advance.
- Decide who sits where each week, and tell customers and suppliers the new address from the first phase.
- Simple signage in the new office saves questions on the first day.
Computers, network and servers
We pack computers and monitors by desk and place them in the new office. Network connection and the server move are planned and carried out by your IT team, and we fit our schedule to theirs. The server room usually moves in the last phase, after the network in the new office is already up.
One project manager
Each phase has one project manager on our side and one owner on yours who knows the floor plan and makes decisions on site. At the end of each phase both go through the desk list together, so the next phase starts with no open issues.
