In short
In an office tower, most of the work is coordination. The service elevator, the loading bay and the time windows are set by building management, sometimes in two buildings at once. When coordination starts two or three weeks ahead and the schedule is built around the elevator, dozens and even hundreds of workstations can move in one weekend.
What to coordinate with building management
- Booking the service elevator for the moving hours, in both the old and the new building.
- A loading bay or truck parking, and car park access if needed.
- A list of the moving crew for access control, if there is any.
- An insurance certificate from the moving company, if the building requires one.
- The hours when work is allowed: evening, night or weekend.
Protecting the building
Before the move we pad the walls of the service elevator, lay floor protection in the lobby and corridors, and protect door frames and corners. That way the building is left undamaged, and there are no disputes with building management at the end of the move.
A schedule built around the elevator
In a tower, the service elevator sets the pace. We calculate how many trips are needed for the workstations, boxes and furniture, and split the work by floor. Usually furniture and boxes go first, and computers and sensitive equipment go last, so they spend as little time as possible in transit.
Two buildings, two crews
- Every box and item is labelled with its floor and room in the new building.
- Each building has its own crew: one crew loads, the other unloads and places.
- Each building has a contact person from the company who makes decisions on the spot.
How long it takes
An office with a few dozen workstations usually moves in one weekend. A larger office, or a move where the service elevator is not available all the time, moves in phases. The exact schedule is set after seeing both buildings and getting the elevator hours.
Tip
Ask the new building's management for the move-in procedure for new tenants as soon as the lease is signed. Many towers need a list of workers, vehicle numbers and working hours in advance, and late coordination can delay the move.
