How to move a hi-tech company: multi-monitor desks, electric desks, an R&D lab with test equipment and prototypes, and the server room with your IT team.

In short

A hi-tech company moves like an office, with three additions: a lot of expensive computing equipment at every desk, an R&D lab with measuring instruments and prototypes, and a server room. Each of them is packed and travels differently. The move is planned on the new office's floor plan, done over a weekend, and on Sunday employees sit down at a ready desk.

What is different in a hi-tech company

  • Two or three monitors per desk, a docking station, keyboard and mouse, and sometimes a desktop computer.
  • Electric sit-stand desks, ergonomic chairs and personal lockers.
  • An R&D or hardware lab with measuring instruments, power supplies and prototypes.
  • A server room or a comms cabinet.
  • A kitchenette, meeting rooms with large screens and phone booths.

Desks and monitors

Every employee packs their personal items in a box with their new desk number. We pack monitors and desktop computers in protective packaging, with their cables in a labelled bag, and place them at the right desk in the new office. Employees take their laptops with them over the weekend.

Electric desks

  • Lower the desk to its lowest height and unplug it.
  • Separate the top from the frame, and label and pack the controller and cables together.
  • In the new office, assemble, connect the controller and check that the desk goes up and down.

R&D and hardware lab

Measuring instruments such as oscilloscopes, spectrum analysers and power supplies are each packed separately, padded. Electronic boards and prototypes are packed in anti-static packaging and labelled by team. Equipment that comes with manufacturer transport instructions is packed accordingly. Your engineers disconnect the test systems and reconnect them.

The server room

The server room moves in the shutdown and start-up order set by the IT team, usually at the end, once the network in the new office is already working. Every server is packed in anti-static packaging and labelled by rack and unit position, and the racks travel on an air-ride truck.

Sensitive equipment and data

  • Computers and servers do not wait on the way: they go straight from the old office to the new one, the same day.
  • Boxes with sensitive documents are sealed and labelled, and opened only in the new office.
  • If needed, we agree with your information security owner who is present at loading and unloading.

One weekend, an office ready on Sunday

Packing starts on Thursday afternoon, the move happens Thursday evening or Friday, and assembly and placement finish before Sunday morning. On request we also unpack and arrange, and then take away the empty boxes too. A large company moves in phases, one department per weekend.

Who does what

  • Us: packing computers and monitors, dismantling and assembling furniture, transport, placement by desk, and on request unpacking and arranging.
  • Your IT team: connecting computers to the network, shutting down and starting up servers, Wi-Fi and security systems.
  • Your engineers: disconnecting and connecting the lab's test systems.
  • Building management: booking the service lift, the loading dock and permitted working hours.
