How to prepare employees for an office move

A guide for office managers: when to tell employees, what each person packs and what they leave, how to label a desk, and what happens on the first day in the new building.

In short

Employees who know what to do in advance make the move shorter. Tell them 3–4 weeks ahead, give each person a desk number and boxes, ask them to pack personal items the day before, and send instructions for the new building: parking, entrance and a floor map.

3–4 weeks before

  • Announce the move date and new address to all employees.
  • Appoint a move coordinator in each department.
  • Ask people to clear old paperwork and items they do not need.

A week before

  • Each employee gets a desk number, labels and boxes.
  • Explain what to pack: drawers, personal items and desk accessories.
  • Explain what not to pack: computers and monitors, which IT handles.

The day before

  • Pack drawers and personal items, and close the boxes.
  • Put the desk number on every box and on the chair.
  • Take valuables and medication home.

First day in the new building

Send employees a floor map, parking and entrance instructions, and the name of the person to ask in advance. When every desk is labelled and the boxes are already there, people are working within an hour.
