In short

Most first-day problems in a new office are IT problems: internet that is not installed yet, a network point that does not work, or a computer that arrived without its cables. Order the internet line and phone porting early, test the network in the new office before the move, back up and shut down in order, label every item with its workstation number, and on the first morning have someone from IT check every workstation.

Internet and phones

  • Order an internet line for the new office as early as possible. Installing a new line can take several weeks.
  • Arrange porting of your phone numbers and phone system with the provider, with a clear switch-over date.
  • Check that the internet works in the new office before moving day, not the morning after.
  • Cancel the line at the old office only after the new one works.

Network and infrastructure in the new office

  • A network and power point for every workstation per the workstation plan, with a number on every socket.
  • A place for the network cabinet or server room, with power, air conditioning and a lockable door.
  • A Wi‑Fi coverage check in every room and meeting room.
  • Places for printers, meeting-room screens and phones.

Backup and shutdown

  • A full backup of servers and important computers, and a check that the backup restores.
  • A list of all IT equipment: computers, screens, docking stations, printers and network equipment.
  • An orderly shutdown in the order IT decides, not cables pulled from the wall.

Labelling and packing

  • Every computer, screen and docking station gets a label with its new workstation number.
  • Each workstation's cables go into one bag with the same number, taped to the computer.
  • Screens are packed with screen protection and travel upright.
  • Toner cartridges are removed from laser printers and packed separately, so toner does not spill on the way.

Connecting and testing

The moving crew places every computer and screen at its workstation by number, and IT connects and tests. On the first morning someone from IT walks through the workstations, checks internet, printers and phones, and notes small faults so they are fixed the same day. It helps to have one contact person employees go to with problems.

The old office

  • Return providers' equipment, such as routers and modems.
  • Recycle old computers after the data is wiped, through a licensed handler.
  • Update the new address with suppliers and subscriptions, including the billing address.

Who does what

We pack, label, move and place the IT equipment, screens, printers and network cabinets. Disconnecting and connecting, network settings, internet and telephony are done by the company's IT team or IT provider. When the order of work between the two teams is agreed in advance, the office is working on the first morning.
